Acceptable Use and Messaging Compliance

This policy applies to every client, user and enquiry workflow using AutoGenix Instant Reply. It is part of the Terms of Service and is designed to keep messaging relevant, lawful and wanted.
1. Enquiries and consent only
Only message people who have submitted an enquiry to your business and have consented to receive the relevant WhatsApp response. Keep evidence of the enquiry and consent. Clearly identify your business and explain the messaging purpose in your enquiry form and privacy notice.
Do not upload purchased, scraped or unrelated contact lists. Do not use the service for spam, unsolicited bulk marketing, cold outreach, repeated unwanted follow-ups or a purpose materially different from the person’s enquiry.
2. Opt-outs
Honour opt-outs immediately, including messages such as STOP or any other clear request not to be contacted. Stop automated messaging to that person, record the suppression instruction and ensure your team and connected workflows do not restart it.
Do not require a person to explain an opt-out or complete unnecessary steps. If a workflow does not correctly handle an opt-out, pause it and contact us before continuing.
3. Lawful and accurate content
Do not send illegal, misleading, abusive, harassing, fraudulent or discriminatory content. Do not impersonate another business, misrepresent property details or use lead scoring to unlawfully discriminate against people.
Do not submit unnecessary special-category personal data, payment card details, passwords or information about children. Review and approve wording before go-live. AI must not quote prices, negotiate or make offers; your team handles those conversations.
4. Your compliance responsibilities
Comply with UK GDPR, PECR, applicable advertising and consumer-protection rules, and WhatsApp's terms and messaging requirements. Use a lawful business number and authorised account access. A reply to an enquiry is not permission for unrelated future marketing.
The connection uses a WhatsApp Web-style provider, not Meta's official Business API. WhatsApp may restrict your number. Do not evade restrictions, rotate numbers to bypass enforcement or attempt to disguise unwanted messaging.
5. Suspension and reporting
We may pause or suspend a workflow or terminate service for a breach, a credible compliance concern or a security risk. Where practicable, we will explain the concern and the steps needed to restore service; serious or unlawful conduct may require immediate suspension. You remain responsible for your staff, your enquiry sources and your legal obligations. Our setup or wording assistance does not replace your own compliance assessment.
